For RTOs & Vocational Training Providers
Assessment Marking Software for RTOs & VET Providers
Registered Training Organisations (RTOs) in Australia, PTEs in New Zealand, and vocational colleges everywhere else run on trainer time — and a great deal of it goes into marking written answers by hand. EduGears AI marks short written responses on meaning rather than exact wording, inside the Moodle you already run or in a white-label LMS of your own, while your trainers keep review and re-grade control over every result.
How EduGears AI fits your world
EduGears AI for Moodle & Canvas
Keep the Moodle your trainers and learners already use, and add semantic short-answer marking, AI authoring, and tutoring inside it over LTI 1.3 — no migration, and every platform starts free.

Where does trainer time actually go?
Vocational assessment is written, and written work has always been marked one response at a time
Mountains of Short-Answer Marking
Vocational assessment leans on written responses — knowledge questions, workplace scenarios, reflective tasks. Multiple choice marks itself; short written answers traditionally cannot, so a trainer reads every one of them, cohort after cohort.
Trainer Time Is the Scarcest Resource
Trainers are hired for their industry currency, not their marking throughput. Every evening spent working through written assessment is time not spent with learners, on the tools, or keeping their own skills current.
The Platform Is Already Chosen
Most training providers already run Moodle, and replacing it is not on the table. Anything that saves marking time has to work inside the system trainers and learners already log into.
How does AI short-answer marking actually work?
Every free-text answer runs down the same three-rung ladder, and only the last rung involves AI
1. Exact match
The learner's answer is compared with the expected answer, ignoring capitalization and surrounding whitespace. A straight match is marked correct immediately, with no AI involved.
2. Punctuation-normalized match
Punctuation, hyphens, and spacing are stripped before comparing, so "first-aid", "first aid", and "First Aid." all resolve to the same answer — still without an AI call.
3. AI semantic equivalence
Only answers that survive both rungs reach AI, which decides whether the response means the same thing as the expected answer. Synonyms, reasonable paraphrases, singular and plural forms, equivalent units, and minor spelling errors are accepted; answers whose meaning has changed are not.
Available in both products
Semantic short-answer marking runs inside the Moodle you already use — through EduGears AI for Moodle & Canvas, our LTI 1.3 integration — and inside EduGears AI LMS, for providers who want a whole platform. The LMS runs its quizzes and assessments on the same EduGears AI tools engine over LTI 1.3, so marking behaves identically in both places. Canvas, Blackboard, and Brightspace are supported through the same integration.
The trainer still marks
Open-ended and essay responses are never auto-marked: they show as awaiting review, stay out of the score until a trainer marks them, and the gradebook shows the attempt as pending manual grading. Auto-marked short answers stay under the trainer's control too — every verdict is kept in Submissions with the learner's own words beside the answer key, and a trainer can re-grade an attempt at any time. Where AI drafts a grade against a rubric, it comes back as per-criterion scores and comments the trainer edits, overrides, and finalizes — and it is the trainer's mark that posts to the gradebook.

What training providers get
Marking relief first, then the record-keeping around it — inside your existing Moodle, or on a white-label platform of your own
Semantic Marking for Written Answers
Short written responses are marked on meaning: paraphrases, synonyms, singular and plural variants, equivalent units, and minor spelling errors pass, while answers that change the meaning do not.
Whole Submissions Marked at Once
The AI legs of a submission are marked in parallel rather than one after another, so a long written quiz comes back in the time of its slowest question instead of the sum of all of them.
Essays and Projects as Drafts, Not Verdicts
AI grading of essay and project work produces per-criterion scores and comments for the trainer to edit and finalize. Nothing becomes a final result until a trainer says so.
Your Moodle Courses Import Faithfully
Import an existing Moodle course backup or cartridge and preview the whole course tree before committing. Auto-graded essay questions from the essayautograde plugin arrive as short answers and keep marking automatically, and anything that cannot be imported is listed by name with the reason.
Weighted Marking
Give each question the weight it deserves — a five-point workplace scenario counts five times a one-point knowledge check — and the weighted result is what posts back to your gradebook.
A Record Per Learner
Student 360 puts one learner's whole history on a single page: enrollments, activity, attempts, and results, in the order they happened.
Transcripts and Certificates
Issue transcripts and completion certificates from the record the platform already holds, with certificates available as Open Badges 3.0 verifiable credentials an employer can check independently.
Review and Re-grade Any Attempt
Submissions keeps every attempt with the learner's own words beside the answer key and how each answer was marked, so a trainer can see exactly what was submitted — and re-grade an attempt when they disagree, with the corrected result posting back to the gradebook.
Inside Moodle, or a Platform of Your Own
Add the AI toolset to your existing Moodle, Canvas, Blackboard, or Brightspace over LTI 1.3 — install our Moodle plugin, or register manually with no plugin at all — or run EduGears AI LMS as a white-label platform under your own brand and domain.
Questions from training providers
What RTOs and vocational colleges ask before they start
Does this work inside the Moodle we already run?
Yes. EduGears AI for Moodle & Canvas is an LTI 1.3 Advantage integration that adds AI authoring, tutoring, and marking tools inside an existing Moodle — self-hosted or Moodle Cloud — as well as Canvas, Blackboard, and Brightspace. You can install our Moodle plugin or register manually without one. It is a Moodle Certified Integration, and every platform starts free.
What happens when a learner words a correct answer differently?
It is still marked correct. Free-text answers run down a ladder — exact match, then a punctuation-normalized match, then an AI check for semantic equivalence — which accepts synonyms, reasonable paraphrases, singular and plural forms, equivalent units, and minor spelling errors, and rejects answers whose meaning has changed.
Does the AI decide a learner's final result?
No. Open-ended and essay responses are never auto-marked — they reach the gradebook marked as awaiting review, are left out of the score, and stay there until a trainer grades them. Auto-marked short answers are recorded with the learner's own words beside the answer key, and a trainer can re-grade any attempt. Where AI drafts a grade against a rubric, the trainer edits and finalizes it, and the trainer's mark is the one that posts.
Will our existing courses and question banks come across?
Moodle course backups and Common Cartridge packages import with a preview of the whole course tree before you commit. Auto-graded essay questions from the essayautograde plugin arrive as short answers and keep marking automatically instead of falling back to manual review, and any question type that cannot be imported is listed by name with the reason.
Do we have to move off our LMS to use this?
No. There are two paths and the same marking engine behind both: keep your Moodle and add the AI toolset over LTI 1.3, or run EduGears AI LMS as your own white-label platform if you have no system you want to keep. Providers sometimes start with the integration and move later — nothing about the marking changes if they do.
Is EduGears AI a compliance or student management system?
No. EduGears AI is teaching and assessment software. It keeps attempt records, per-question answers, marks, transcripts, and certificates that trainers and administrators can review and export, but it is not a student management system and it does not produce regulatory or funding reports. It sits alongside whatever you already use for those.
