AI agents & agentic AI
Meet your AI agent
Most people have met a chatbot. An agent is different: it can take steps — look things up in your own reports, check what it found, and only then answer. Here is what that means, in plain words, and how EduGears AI uses it.
What is an AI agent, in plain words?
No jargon. Three short answers.
A chatbot talks. An agent takes steps.
A plain chatbot answers from whatever it already knows, in one go. An agent works more like a colleague with a filing cabinet: it works out what it needs, opens the right report, reads what is actually in there, and only then writes an answer. The answer comes from your data, not from the model's memory.
“Agentic AI” is AI that acts within limits you set.
Agentic simply means the AI can act — use a tool, run a lookup, go back for one more piece of information — instead of only producing text. The limits matter as much as the ability: which tools it may use, whose data it may see, what it may do with them. At EduGears AI those limits are the design. The agent can read, and reading is all it can do.
Example
What that looks like
Who hasn't started Module 3?
Four learners in Biology 101 haven't opened Module 3 yet: Amara Osei, Daniel Ruiz, Priya Nair and Tom Becker. Nine of the thirteen enrolled learners have completed it. Want me to look at the quiz results for the ones who did?
Where this came from
Module Progress · 13 rowsCog opened the same Module Progress report the teacher can open, counted the rows, and linked it. Click the source and you land on that report, with the filters already applied.
How EduGears AI uses agents
One assistant — Cog — across all three products. It answers from the reports you already have, in the place you already work.
Ask about your school
EduGears AI LMS
In the white-label EduGears AI LMS, Cog sits in a panel reachable from every page. Staff ask about courses, classes and learner progress in plain words and get an answer drawn from the platform's own reports and dashboards — and a walkthrough of how a feature works, from the product manual. Where student information is switched on, Cog can answer from that too.
Ask inside the LMS you already run
EduGears AI for Moodle & Canvas
Teaching in Moodle, Canvas, Blackboard or Brightspace? Cog answers class-data questions right there, inside your own LMS: who is behind, how a module is going, which questions a class struggled with. It reads the same reports the integration already shows you — your own courses, nothing wider.
Ask about your published courses
EduGears AI Studio
Publishers and course authors can ask about the courses they publish across every school that redeems them — cohorts, redemptions, how far learners have got — without opening a single report by hand. Answers stay inside your own organization's data.
Guardrails, not promises
The limits are built into how the agent runs — not merely written into its instructions.
Read-only, always
Cog can look; it cannot change anything. No grade touched, no record edited, no message sent, no enrolment altered. Reading is the only thing the agent is able to do.
It only sees what you can see
The agent works as you: your role, your courses, your organization. If a report is not open to you, it is not open to Cog while you are the one asking.
Every number is traceable
Answers name the report they came from, and the source opens that real report with the same filters. If a figure looks wrong you can check it in one click — and where the data isn't there, Cog says so instead of guessing.
Your administrators decide
Data questions are a capability your organization's administrators switch on or off for everyone, at any time, in the platform's own settings.
Questions people ask
What is an AI agent?
An AI agent is an AI that takes steps to answer you instead of replying from memory alone. It works out what it needs, uses a tool to look it up — in our case one of your own reports — reads the result, and then writes an answer based on what it found.
What does “agentic AI” mean?
Agentic AI is AI that can act — use tools, run a lookup, go back for one more piece of information — within limits somebody sets. The limits matter as much as the ability. In EduGears AI, the agent's only tools are read-only lookups into reports you already have access to.
Can it change grades or student records?
No. Cog is read-only by design and by construction: it has no tool that writes, edits, sends or deletes anything, and the database connections it uses are read-only as a backstop. Changing a grade or a record stays a human action in the normal screens.
How is this different from a chatbot?
A chatbot answers from what the model already knows, which is how it can sound confident and still be wrong about your class. An agent looks it up first. Every figure Cog gives you comes from a report you can open yourself, and it tells you which report that was.
Is my data safe?
The agent works only inside your own organization's data, as the person asking: same role, same courses, same permissions. Your courses, submissions and grades are never used to train AI models, and answers are assembled from your own reports. Our Trust & Security page sets out the full detail, including encryption, tenant isolation and bringing your own AI provider key.
Do we have to set anything up?
No — Cog is part of the EduGears AI products you already use, with nothing to install. Administrators can switch data questions on or off for the whole organization, and AI is included in your plan with fair usage.
Try it on your own courses
Cog is already part of EduGears AI LMS, EduGears AI for Moodle & Canvas and EduGears AI Studio. Open the assistant panel and ask a question about your class — or talk to us and we will walk you through it on a real course.
